Costa Rica Rental Car Pickup and Return Checklist: Avoiding Unexpected Charges
You are ready to leave the rental office, but the inspection sheet is brief and you notice a mark on a wheel. Taking a moment to clarify it now gives you a better record of the car you received.
Inspect the vehicle with the rental agent, record existing issues and keep the pickup and return documents. A checklist cannot guarantee that no charge will arise, but it helps you understand the agreement and document what happened.
Before you sign: confirm the agreement
- Check names and every authorized driver.
- Confirm the category, dates, times and return location.
- Review protection, deductibles and exclusions.
- Compare the payable total with your written quote.
- Confirm the guarantee amount and payment process.
- Read fuel, late-return, cleaning and accessory terms.

At pickup: inspect and document the vehicle
- Walk around the car with the agent in suitable light.
- Check body panels, wheels, glass and visible existing damage.
- Review the cabin, seats and supplied accessories.
- Record the fuel level and odometer.
- Ask how to document marks already present.
- Take clear dated photos or video as a supporting record.
- Keep a copy of the agreed inspection report.

Before driving away: know the car and the help procedure

Ask what to do for an incident, flat tire, lost key or breakdown. Keep the instructions with your rental documents. Any requested child restraint should be suitable and correctly installed before the journey begins.
Before return: prepare the handoff
- Confirm the office, deadline and inspection arrangement.
- Follow the agreed fuel policy and retain relevant receipts.
- Remove bags and personal items, checking storage spaces.
- Return keys, documents and supplied accessories.

At return and afterward: keep a clear record
When a staffed inspection is available, review it with the agent and request a copy. Ask for the final invoice, any explanation of additional charges and confirmation of the guarantee release process.
